Boarding and Homestay



Boarding Program
Established Boarding Schools:
Schools that have established boarding programs are accommodated to meet the requirements established within their boarding facility. Three W International will assist in conveying information regarding requirements and expectations prior to the student’s arrival. This will help to assure the smoothest transition possible into the established program
.


Guardianship
Often the greatest fear when embarking on establishing an international studies program revolves around questions of liability and responsibility for the welfare of the students. This is a legitimate concern and one that cannot and should not be taken lightly. Three W International works attentively with the school officials to ensure that due diligence has been met. Assuming the responsibility of introducing minor students who live away from their parents in a boarding facility is a serious responsibility for Three W International and the school.

Cultural Education
When accepting students from another cultural background it is necessary to educate the incoming student to American culture. This is the obvious level of cultural education. Three W also spends a great deal of time and energy educating the schools, teaching; customs, important holidays, and practices the international students have grown up with can only enhance the experience and ease the transition for the student and the school. To this end Three W International provides:

Twinn Palms pledges to walk with your administrators, students and families to make the host family experience an enriching one. The Host Home or Home-stay experience is generally the component of an International Program that causes the most anxiety for schools and administrators. Often the greatest challenge when embarking on establishing an international studies program revolves around questions of liability and responsibility for the welfare of the students.

In October 2012, Three W International founded a separate corporation to support the host home management needs of its schools, Twinn Palms. The following details how Twinn Palms will provide your school with 100% management support systems and staffing, monthly reporting with host family and students, ease the school’s international program staff’s workload, thus reducing the school’s risk and liability in all situations.

Guardianship
Assuming the responsibility of introducing minor students who live away from their parents in a host home is a serious responsibility and Twinn Palms will assume the liability and ensure that due diligence has been met including, but not limited to:
• Power of Attorney documents
• Custody documents
• Major Medical Insurance acquisition
• Medical Liability Release forms

Financial Management
Twinn Palms maintains the financial records for the program including the management of custodial, placement and monthly fees to host families.

Local Homestay Coordinator
Twinn Palms will hire a Local Coordinator who will be assigned to the host school to manage all aspects of its homestay program. This coordinator is responsible for organizing and supporting the efficiency of the Homestay Program and will be under the supervision of Twinn Palms management. The Local Coordinator responsibilities include, but are not limited to:

Recruiting and Management of Host Families
• Along with school administrators develop a profile of the type of family that would support the school’s international program goals.
• Promotes the Homestay Program in the community (i.e. staff, faculty and school families).
• If needed, places ads in the area and responds to all homestay inquiries.
• Maintains current and complete files of all prospective homestay families.
• Provide interested families with complete application pack insuring that they return all necessary documents, pictures and letters of
recommendation, including authorization to perform background checks.
• Screens and interviews new families, conducts the criminal record search process (FBI Level II),
• Live Scan fingerprinting, and maintains copies of completed forms and custodian/guardianship letters.
• Home visits to all prospective families and conducts a Host Family Interview to insure that the family is an appropriate host family candidate.
• Matches students with homestay families.
• Provides current information and address lists to Three W, host families, school and staff.
• Notifies relevant parties of student moves and changes.


Orientation and Training

• Develops the Host Home Handbook for families and the Student Handbook for students.
• Coordinates trainings and networking meetings for homestay families, on goingly.
• Provides orientation to new students coming into the homestay program.
• Works with the students and families to assist with the cultural, social and emotional in
tegration of the homestay situation.

Monthly Reporting and Monitoring

• Conducts a Monthly Report between, student, host family and school’s Academic Counselor providing all parties with the status of a students achievements for that month.
• Translation of all communications into the students native language in order to keep the natural family involved in the student’s progress.
• Conducts home visits at the beginning of each semester.
• Participates and assists in monitoring students at international program activities and events.

Communication and Conflict Resolution

• Acts as a liaison between Three W, Cathedral Catholic, natural parents, host families and corresponds directly with these parties via telephone, in person or email.
• Ongoing assistance with communication for the natural family when issues arise at school or in the host family.
• Deals effectively with conflict situations and assists with the communication process.
• Facilitation through any area of difficulty, misunderstanding, or crisis that occurs.


Student Transportation (Airport and Travel

• Organization and communication of flight arrangements — 24/7 support during the arrival period in case of flight delays or changes, including but not limited to arrival, departure and scheduled year-round holidays.
• Organizes airport pick-up and schedules for visiting parents; assisting with finding hotels and arranging local transportation.
• Transports students, if required, aside from normal school activities and host family responsibilities.
• Manage student travel within the U.S. for Christmas and spring vacations.


Ancillary Student Services

• Tutoring Services. Upon identifying the academic challenges of a student, we will customize one-on-one tutoring instruction that helps students achieve their academic goals. Through our partnership with VarsityTutors we are able to select from a pool of more than 100 local tutors which allows us to support students with homework, exams, test prep, etc. Our 3W/ Varsity Tutors have met stringent requirements and have all been cleared through Level 2 FBI clearances.
• Educational Tours. Through Education First Explore America we arrange and manage an educational experience outside the classroom. (i.e. Hawaii during the Christmas holiday and an East Coast College StudyTour during Spring Break.)


Twinn Palms Management Fee

Twinn Palms standard management fee is $2,500 per student, per year which is built into the Annual Tuition and Fees paid by the natural family. The school does not incur any out-of- pocket expense. This fee includes, but is not limited to, host family recruiting, local coordinator compensation, background checks and Live Scan fingerprinting, monthly monitoring of host families and students, maintaining of all students custody records, ongoing communication with natural parents, host family visits, monthly visits with academic counselor at schools, teachers (if needed).

Summary

Upon your acceptance of partnering with Twinn Palms Corporation as your Homestay Management Company, we will proceed to a Homestay Arrangement Agreement between your school and Twinn Palms for all Three W International students. A $2,500 Twinn Palms management fee would be added to the 2014-2015 Annual Tuition and Fees for each Three W International student enrolled at your school.

At Three W International and Twinn Palms, we recognize that the homestay program is a crucial component of any school’s international program. Through Twinn Palms, we pledge to walk with your administrators, students and families to make the host family experience an enriching one.
